Upgrade your servers
Whether it's due to the programming of the email servers & how they access the emails sent or whether it's a hardware issue of not having enough servers to serve the numbers of users, I do not know. I do know the service worked much quicker 2 years ago, and even worked faster 20 years ago when using dial up to access. The more stuff you put on a webpage, the slower it works. . . so stop cramming useless stuff on the service, upgrade the servers & streamline the email program.
